In this article, you'll learn how to create a new order in Prodio, including all the necessary steps and information.


Create a new order

  1. To create a new order, select the "Add" button at the top right corner of the orders tab.
  2. Clicking this button opens a new window for entering order details

General Information about the order

*Client - name of the client ordering the product. You can select an existing client or enter a new one by typing the name and pressing enter.

*External order ID - this can be an identifier provided by the client, useful for linking orders to specific entries, and facilitating tracking and communication. You can leave this field blank, and the system will label it as “Own”.

*Due date - A customizable date indicating when the order items should be delivered to the client.

*Notes for all - notes that will appear on every production order linked to this order, visible on both the manager's and worker's panels.

*Notes hidden - notes visible only on managerial panels, not accessible to workers.

*Additional order fields - customizable fields that you can create in the app. You can create as many as you need - read more here: [link]

*Files for the order - files of types .pdf, .doc, .docx, .xls, .xlsx, .rtf, .dwg, .dxf, .pwf, .stp, .prt, .srt, .tap, .txt, .cdr, .ipt, .mpf, .step, ._xt, .prt, .srt, .tap, .ipt, .eps, .job, .nc, .s3d, .tcn, .lbl, .ics, .exb, .zcodex, .zcodex2 can be up to 10.00MB in size. Files can be hidden on the worker's panel in settings.

*Images for the order -files of types .jpg, .gif, .png, .jpeg.

Product in the order

At least one product must be added to each order.

*Product - the product being sold. You can select an existing product, scan a barcode to add it to the order or create a new entry by typing the name and pressing enter.

*Additional names - configurable information pulled from the product. It could be, for example, the product index or an alternative name.

*Quantity - the quantity of the ordered product. The unit of measure can be set and edited on the product details card. Prodio allows two decimal places.

*Price - edited selling price (excluding taxes) for the product - VAT rate and currency can be set in the product details edit (orange pencil icon).

*Summary - a non-editable calculation field showing:

  • quantity x price per unit (excluding taxes)
  • quantity * price per unit including taxes
  • tax value

*Inventory - A non-editable field showing the amount of the product available in the inventory of the finished product. This helps decide the next steps to take.

*“Make to stock” slider - when marked, each finished product will increase the amount of finished product inventory.

Actions in the order

*Edit product line - clicking the pencil icon allows you to edit many fields related to the products, including price, unit, packaging method, and additional fields you've created.

*Add item - a button that adds another product line to the order. In Prodio, you can set a different completion date or enter different notes for each product.

*Save and Stay / Save - buttons that add the order to the system - the order will be added if all mandatory fields (External Order Number, Expected Completion Date, Product, Quantity) are filled.
